Yes. The easiest way to do this is to install the full version over the trial version. In other words, install the full version without uninstalling the trial version. All data and settings are completely preserved.
No. At the beginning of a new year the program automatically switches one year onward. You can use the application for all years in future. It is a one-time purchase price. There are no additional costs.
You cannot manually add years. At the beginning of a new year the program automatically switches one year onward. This continues year by year. The program is thereby usable for all subsequent years without the necessity of manual intervention.
Before the program automatically switches one year onward at the beginning of a new year, and the data of the last year are no longer visible, you can archive the data as PDF files. You need a virtual PDF printer driver, like the freely available PDFCreator. Instead of a printout, a PDF file is created.
From the beginning of a new year, the data of the year before last year are no longer displayed. But they are still stored in a backup file. You can start the Attendance Planner in view mode to display old data. You will need software version 1.15 or newer. If necessary, install the latest version of the Attendance Planner first: Update.
Option 1: Starting view mode automatically
- Using the following link you can download a script (batch file for MS-DOS), which you can use to start the Attendance Planner in view mode. After downloading the script you can execute it by double clicking on the file name. LookBack.bat
Option 2: Starting view mode manually
- Open a command prompt by using Start → All Programs → Accessories → Command Prompt.
- Enter "%ProgramFiles%\Attendance Planner\APlaner.exe" /lookback (including quotation marks) and press the Enter key. In a 64-bit version of Windows replace %ProgramFiles% by %ProgramFiles(x86)%.
If no data of the year before last year could be found, you can also view the data which are stored in a backup file (menu option File → Export Data ). Proceed as described above and add path and file name of the backup file. E.g. "/lookback:C:\folder\file name" (including quotation marks).
To calculate the vacation days correctly in the Vacation Overview, you have to
- enter the employees' vacation entitlements (menu option Edit → Employees )
- enter the residual leave under Edit → Employees , as of 1 January of the last year *)
- enter the code letters of the buttons for vacation days under Edit → General Settings → Vacation days
- check the settings under Edit → Settings → Vacation entitlements
If, despite everything, you cannot clarify why an employee's leave calculation is incorrect, then increase or decrease the value in the column Residual Leave under Edit → Employees so that the calculation is correct at least from now on.
*) Explanation: The vacation days can be displayed back to 1.1. of the last year and the Vacation Overview is calculated from this point. For this reason, the residual leave must also be entered with this value. The residual leave must only be entered when the program is set up for the first time. At the beginning of a new year, the program automatically switches one year onward and will calculate the residual leave automatically.
If you have set a scaling of more than 100 % in the Control Panel, the program window may be blurred under Windows 10.
Do as follows:
- In the Windows Explorer, switch to the folder Program Files → Attendance Planner
- Click with the right mouse button on APlaner or APlaner.exe
- In the window that now opens, select the tab Compatibility
- Click on Change high DPI settings
- Enable the option Override high DPI scaling behavior. Scaling performed by: Application
Old computer:
- Save your data by using menu option File → Export Data.
New computer:
- Install the program. You can download the newest version from here: Download.
- Import your data by using menu option File → Import Data.
If the server is exchanged on which the data of the Attendance Planner is stored, the folder with the data must be copied to the new server. If you do not know where the data folder is located, you can display the path by pressing CTRL + F5 in the program.

If yes, you must select the new folder by using menu option File → Change Data Folder. This must be done on all clients on which the program is installed.
You can also preset the data folder so that employees do not have to select it manually. For more information, see Silent Installation. If the data folder can only be accessed via a UNC path, you can enter it by using the key combination ALT + F5.

If yes, add yourself as an administrator a second time with the future Windows User Name before replacing the server. This is important because otherwise no one on the new server can select menu option Edit → Administrators and administration of the program is no longer possible.
Finally, you must enter the new Windows User Names in Edit → Administrators, in Edit → Privileged Users (only if Privileged Users have been set up and this menu option exists) and in Edit → Employees (only if employees are authorized to make entries and the column Windows User Name is displayed).
With key combination CTRL + F4 you can display the Windows User Name which you have to enter. During the migration you can block opening the program by employees (menu option Edit → General Settings → Lock program ).

Yes. You can manage the employees separately. The disadvantage of this is, if an employee will change the department, his data cannot be transferred and must be completely re-entered in the new department. Therefore, it is better to manage the employees in one and to define Authority to View, so only the employees of the own department are displayed. If an employee will change the department, he or she can be moved to the new department in the employees’ data by using the arrow keys and all data is preserved.

If you want to manage the employees separately despite this disadvantage, create a separate data folder for each department. Use menu option File → Change Data Folder to select the data folder of the relevant department. If you specify in the settings that only employees entered in the Attendance Planner can open the program, employees will not be able to select the data folder of another department.
Administrators can use menu option File → Change Data Folder to switch between the departments. Alternatively, you can create a copy of the icon you use to start the program and add the path to the data folder as a parameter: "C:\Program Files\Attendance Planner\APlaner.exe" "/path:‹path›". Instead of ‹path› you can specify the path to the data folder with drive letter X:\Folder\Folder or server name \\Server\Folder\Folder.
It is not possible to start the program twice. If this is required, you can create a copy of the exe file C:\Program Files\Attendance Planner\APlaner.exe in the same folder and use the name of the copy in the second icon.
Exchanging data with other programs is not possible. You can export data to a CSV file for further processing by using the key F12.
Unfortunately not. The development environment in which the program is written does not support compiling for MAC.
Yes. If you know as an experienced computer user how to start a program with a parameter. With parameter /NoWelcomeScreen you can turn off the welcome screen: ...\APlaner.exe" /NoWelcomeScreen.
It is not possible to make individual modifications. Programming is very time consuming and an individual version would be too expensive.
In menu option Edit → General Settings → Open the program was specified that only registered employees can open the program.
The employee must be entered under Edit → Employees. In the column Windows User Name, the Windows User Name must be entered as it appears in the message. You do not need to pay attention to upper/lower case.
If the column Windows User Name does not exist in the employees’ data, it has been set that the program can only be opened by Administrators and Privileged Users. Opening the program is then only possible if the employee is entered as Administrator or Privileged User.
If the message still appears even though the Windows User Name is entered correctly, you must check whether all employees are working with the same database. If you press CTRL + F5 in the program, the path to the Data Folder is displayed. This must be identical everywhere. On the computer on which the message appears, you can check the path to the Data Folder by logging on there with the Windows User Name with which you are entered in the program as an administrator, or you can temporarily allow all employees to open the program.
